How to choose a helpdesk for a small team

Start with how your customers reach you and how many people answer them, then compare what each tool costs as you grow, not just its entry price. For most small teams the deciding questions are the pricing model, how the AI is billed, and whether the plan you can afford includes the channels you need. This guide walks through each one and says when miniDesk is the wrong choice.

Which channels do your customers use?

List them before you look at any product. Email and website chat are standard. WhatsApp, Instagram, phone and social comments vary a lot between tools and often sit on higher plans. A helpdesk that lacks your main channel is the wrong one however cheap it is. miniDesk covers email, live chat, web forms, Telegram, Instagram, Messenger and an API, and does not support WhatsApp yet.

How is the AI billed?

This is now the biggest difference in price. Some vendors charge for each conversation their AI resolves, some sell AI in credits or blocks of sessions, and some include it in the plan. Per-resolution and credit pricing make the bill rise with exactly the volume the AI was meant to absorb, so ask for the cost at your expected monthly AI volume, not the price of the plan. On miniDesk the AI is part of every plan: 75 conversations a month on Free and 375 on Starter, with no charge per answer.

Per seat or per workspace?

Per-seat pricing suits large teams and costs small ones more, especially when people share the inbox part time. Per-workspace pricing keeps the bill fixed while you stay within the plan's seat count. Work out both for your team as it will be in a year, not just as it is today.

What does the plan you can afford actually include?

Entry prices often leave out what you came for. On the plan you would buy, check: the AI agent, the knowledge base, the API, removal of the vendor's branding, how long conversation history is kept, and any caps on seats, conversations or AI volume.

Where does your data live, and can you leave?

Ask who processes your data and where, whether your content is used to train models, and how you would export your history if you switched. If you are moving from another tool, check what an import brings across: conversations and contacts usually move, while help centre articles and automation rules often do not.

When is miniDesk the wrong choice?

When you need WhatsApp today, a CRM with outbound campaigns, product tours or a large catalogue of third-party integrations. Intercom and Crisp cover more of that, and our comparison pages say where each of them is the better buy. If you want to host the software yourself, Chatwoot is open source.

A short checklist

Before you sign up anywhere, make sure that:

  • Your main channel is supported on the plan you would buy
  • You know the monthly cost at your expected AI volume, in writing
  • The bill still works at next year's team size
  • The AI can be limited to drafts until you trust it
  • You can export your history, and import it from your current tool
  • The prices are published and dated, not available on request only

One price. All of customer support.

Start free, no card. When you upgrade, every feature is included, rather than a starting point with a list of add-ons to buy.
